Part 1

Automatic Arrival/Departure Logging

Set up location-based automations to log when you arrive at and leave job sites.

What you'll set up: iOS automations that automatically capture a timestamp when you arrive at or leave your job sites - no need to remember to clock in or out.

What You'll Need

  • iPhone with iOS 16 or later
  • Time Memos app installed
  • Location Services set to "Always" for Shortcuts app
Important: Go to Settings β†’ Privacy & Security β†’ Location Services β†’ Shortcuts and select "Always" for reliable location triggers.

Step-by-Step Setup

Open Shortcuts and create an automation

Open the Shortcuts app, go to the Automation tab, and tap +.

Select "Arrive" as the trigger

Choose Arrive to trigger when you arrive at the job site.

Set your job site location

Search for the address or drop a pin on the map. For large construction sites, increase the radius to 200-500 meters so it triggers reliably.

Tip for large sites: Construction sites can span a wide area. If the automation isn't triggering reliably, increase the radius in the automation settings.

Add the Capture Time Memo action

Tap New Blank Automation, search for "Time Memos", and add "Capture Time Memo".

Configure it with:

  • Emoji: πŸ—οΈ (or your preferred job site emoji)
  • Label: "Arrived at site"
  • Include Location: On

Set to run immediately

Select "Run Immediately" and tap Done.

Create a second automation for leaving

Repeat steps 1-5, but select "Leave" as the trigger and use the label "Left site".

What happens now

Every time you arrive at or leave the job site, Time Memos will automatically capture a GPS-verified timestamp. You'll build an accurate record of all your work hours without any manual entry.

Part 2

Automated Weekly Email Reports

Set up a Shortcut automation to email your weekly hours to your boss every Friday.

What you'll set up: A weekly automation that collects your job site timestamps, formats them with elapsed time, and emails them to your supervisor automatically.

Step-by-Step Setup

Create a new automation

In the Shortcuts app, go to Automation tab and tap +.

Select "Time of Day" trigger

Choose Time of Day. Set it to Friday at 5:00 PM (or your preferred end-of-week time).

Add "List Time Memos" action

Search for "Time Memos" and add "List Time Memos".

Configure the filter:

  • Emoji: πŸ—οΈ (your job site emoji)
  • Limit: 100 (or enough to cover a week's worth)

Add "Format Time Memos" action

Add the "Format Time Memos" action.

Configure it with:

  • Time Memos: (the output from List Time Memos)
  • Format: Text
  • Include Time Elapsed: On
  • Include Location: On (for verification)
  • Newest First: Off (chronological order)

Add "Send Email" action

Add the built-in "Send Email" action from Mail.

Configure it:

  • To: Your supervisor's email
  • Subject: "Weekly Hours Report - [Your Name]"
  • Body: "Here are my hours for this week:" followed by the formatted memos output

Set to run immediately

Select "Run Immediately" and tap Done.

Alternative: If you want to review before sending, select "Run After Confirmation" instead. You'll get a notification to approve the email.

What happens now

Every Friday at 5 PM, your iPhone will automatically collect your job site timestamps, format them with time elapsed between arrivals and departures, and email the report to your boss. Complete accountability with zero weekly effort.
